Start with the work, not the label
List the conversations your team handles most often: new appointments, administrative questions, rescheduling, billing routing, and clinical escalation. Decide which need a person and which can follow an approved workflow.
Ask what happens after the answer
For each option, request a demonstration of the complete journey. Does the service take a message, send a booking link, or write a confirmed appointment to your system? Test what happens when there is no availability.
Compare the complete cost
Review setup, usage, coverage, channel fees, integration work, and staff time needed for follow-up. A low price per call may not reflect the cost of completing the request.
Test the handoff
Use a complex request, an uncertain answer, and a clinical question. Evaluate how the conversation reaches the right person. Choose the option that fits your team’s actual workflow, then measure it against the same success criteria.
